Self-Hosting for Restaurants and F&B: The Complete Stack
Restaurants need POS integration, inventory tracking, and online ordering. Here is the open-source stack that replaces Toast and Square.
Restaurants pay for point-of-sale systems, online ordering platforms, delivery integrations, and loyalty programmes. Each charges a percentage of revenue. For a restaurant doing 500,000 dollars in annual sales, those percentages add up to 15,000 to 25,000 dollars per year. A self-hosted stack eliminates the percentage fees and keeps more revenue in the business.
The Stack
| Function | Typically SaaS | Self-Hosted |
| Point of sale | Toast or Square (2-3% of sales) | Wallos (free), or NexoPOS (free) |
| Online ordering | Toast TakeOut, GloriaFood | WordPress with WooCommerce + restaurant plugin |
| Inventory management | Part of POS (limited) | ERPNext or Dolibarr |
| CRM and loyalty | Toast Loyalty, Square Loyalty | EspoCRM with custom loyalty fields |
| Email marketing | Mailchimp | Listmonk |
| Website | Square Online, Wix | WordPress (free) |
| Payment processing | Built into POS (2-3%) | Pocket Pay (online) + Baiduri MerchantSuite (online) |
The self-hosted stack runs on a single server for 40 to 60 US dollars per month. There are no percentage fees on sales. The only payment cost is the standard card processing fee through your merchant account, which you pay regardless of whether you use Toast or a card reader directly.
POS That Does Not Tax Your Revenue
Wallos and NexoPOS are open-source point-of-sale systems that run in a browser. Connect a receipt printer, a barcode scanner, and a cash drawer through a computer or tablet. Staff enter orders at the counter. The kitchen receives them on a display screen. Payments are processed through Baiduri MerchantSuite or Pocket Pay. Wallos and NexoPOS do not charge per transaction. You pay for the hardware once and the server monthly. That is it.
Online Ordering Without the Commission
WordPress with WooCommerce and a restaurant-specific plugin provides online ordering. Customers browse your menu, customise items, add to cart, and check out. Payment is processed through Pocket Pay. The order prints in the kitchen or appears on the kitchen display. You pay no commission to a third-party platform. The customer pays the menu price, and you receive the full amount minus standard card processing fees.
Inventory That Prevents Waste
Restaurant margins are thin, and food waste destroys them. ERPNext tracks ingredient inventory, links each menu item to its ingredients, and decrements inventory automatically when orders are placed. When the chicken inventory drops below a threshold, the system alerts the kitchen manager to reorder. When tomatoes are approaching expiry, the system flags them for use in today's specials. This is not science fiction. It is inventory management that grocery stores and large chains use, available to any restaurant on a self-hosted server.
Loyalty That Remembers Customers
EspoCRM, customised for restaurant use, tracks customer visit history, favourite orders, dietary restrictions, and special occasions. When a regular customer books a table or places an online order, the CRM surfaces their history. Staff greet them by name, ask if they want their usual, and note their anniversary. This level of personalisation builds loyalty without a loyalty programme's per-customer cost.
Combine EspoCRM with Listmonk for targeted email marketing: send a birthday offer to customers whose birthdays are this month, invite regulars to a soft launch of a new menu, or re-engage customers who have not visited in three months with a welcome-back offer.
VPS1 builds complete F&B stacks. POS, online ordering, inventory, CRM, and email marketing. One server, no percentage fees, more revenue staying in your restaurant.
